Editorial Assistant, Special Interest Division

The opportunity

We are looking for an Editorial Assistant to join Osprey Publishing within the Special Interest Team at Bloomsbury.

Osprey Publishing is the UK’s leading illustrated military history publisher and we have been producing books for both enthusiasts and the wider market since 1968. We are part of Bloomsbury’s Special Interest division, which creates original and high quality content to support hobbies, enthusiasms and interests in a number of subject areas including military history, sports, religion, wildlife, creative writing and sailing.

We are looking for someone with exceptional organisation skills, who has a good eye for detail and who is used to juggling a variety of tasks. A passion for books is a must and previous experience of working in an office environment would be an advantage.

The role

  • Lead on Osprey’s backlist e-books project, working with the in-house e-books team and with support from the Editorial Apprentice to clear the rights for, create and make available for sale ebooks for backlist titles which currently have none.
  • Support the Osprey team through carrying out a range of core administrative tasks, including:
  • Coordinate meetings, including circulating documentation and taking minutes.
  • Sending out advance copies and complimentary copies of books to contributors.
  • Managing the booking, contracting and invoicing process for freelance copyeditors, proofreaders and indexers.
  • Manage the contracts process for the editorial department: preparing, sending out, uploading signed copies and sending them for archiving.
  • Maintaining the book archive and office copy collections in good order.
  • Screening and responding to manuscript submissions and enquiries from the public.
  • Undertaking administrative tasks for the editorial department on an ad hoc basis, for example scanning and posting out artwork references, or updating data on the Biblio 3 title database.
  • Managing the process for Osprey rebrands of Conway books that are reprinting, working with the Reprints Production Controller.
  • Keeping documentation for editorial processes such as image permissions up to date.
  • Providing ad hoc project management support for editors as required, for example picture clearance, hard-copy artwork processing, e-book checks.

Knowledge, skills and experience

  • Great organizational and time management skills
  • Ability to prioritize a complex workload
  • Excellent communication skills, both written and verbal
  • Strong eye for detail
  • IT competency, particularly with Word, Outlook, Excel and databases, and aptitude for learning new software
  • Proactive attitude and professional manner
