Post Room Operative, Facilities

The opportunity

Our head office is housed in a beautiful Georgian Square and we are looking for someone to join our facilities team, as Post Room Operative. The role is office-based Monday – Friday, 9am to 5pm (with an hour unpaid for lunch).

The Post Room Operative works behind the scenes to support the smooth running of our back office, so the role has a broad scope. A ‘can‑do’ attitude is essential, helping to maintain tidiness, order, and efficiency across our London Head Office and nearby satellite site.

Although the role is primarily based in the post room, there is an expectation to assist and get involved in other areas of the office as part of the Facilities team. Day‑to‑day procedures and systems will be overseen by the Facilities Supervisor, with overall direction provided by the Head of Facilities UK.

The role

  • Sort incoming mail and deliver it to the right teams or individuals.
  • Prepare outgoing post, making sure the correct postage is used for UK and overseas deliveries.
  • Track spending in the post room and help find cost‑effective ways to send items.
  • Support colleagues in following the company’s mailing procedures.
  • Keep mailing and packaging supplies stocked.
  • Liaise with couriers and ensure items are collected, delivered, and communicated to recipients.
  • Move deliveries from reception to the goods‑in area.
  • Safely lift and move boxes, mailbags, and trolleys as part of daily duties (equipment and training provided).
  • Pack and send archive boxes when required.
  • Help coordinate deliveries, collections, and print‑room tasks for office teams.
  • Provide occasional cover for reception and the main switchboard.
  • Monitor and respond to the goods‑in entrance/doorbell.
  • Work closely with the wider Facilities team to keep operations running smoothly.
  • Carry out safety duties such as fire marshal or first aid tasks (full training provided).

Knowledge, skills and experience

  • Confident using Microsoft Office and online portals.
  • Strong communication and customer‑service skills.
  • Able to work independently and as part of a team.
  • Good organisational and problem‑solving skills.
  • Attention to detail and a practical, common‑sense approach.
  • Understanding of data protection and basic Health & Safety.
  • Numeracy skills for checking manifests, invoices, and postage.
  • Proactive, flexible, and willing to learn.
  • Physically able to handle, move, and lift items safely. Familiarity with courier or parcel‑tracking systems is desirable.
  • Experience in a similar role is beneficial but not essential.
